ExOfficio International Import/Export Coordinator

Job Scope:

Responsible for all International and Domestic logistics functions resulting in cost effective, time efficient and customs compliant product delivery. Provide subject matter expertise for site import/export matters. Ensure the company’s global importations and exportations are conducted in accordance with the rules and regulatory requirements of customs and other applicable governmental agencies in the affected country (ies).

Main Areas of Responsibility:

Clear, accurate, timely, compliant and cost effective Customs Classification, Transportation and international payment selection and oversight. Support Department through the gathering, coordination and distribution of information to all pertinent internal departments and off site work groups. Ensure compliance with all relevant customs regulations and trade laws and regulations.

Skills and Educational Requirements:

Minimum skills and educational requirements for this position:

  • 5+ yrs experience in import/export logistics working with freight forwarders and customs brokers, and U.S. Customs Border and Protection
  • Knowledge of apparel and accessories import regulations and classification
  • Knowledge of customs and shipping terminology
  • Experience working with domestic trucking lines negotiating rates and scheduling shipments
  • Exceptional written and verbal communication skills
  • Ability to address issues in an effective and timely manner
  • Must work well as part of a team, contributing to the overall success of the team
  • Must be willing to assume other duties as assigned
  • Must be capable of working independently with a minimum of supervision
  • U.S. Customs Broker License preferred

Required technical or PC skills:

  • Proficient in Excel, Word and Microsoft Outlook

Primary Duties and Responsibilities:

Logistics & Shipping:

  • Work closely with logistics providers to coordinate the shipping of orders ex-factory to the ExOfficio distribution center and third party vendors
  • (International)Work closely with logistics providers and factories to coordinate the shipping of orders between factories and ExOfficio Distributors worldwide
  • Track all product in-transit to ensure timely deliveries
  • Maintain shipping schedules and provide accurate delivery information to other departments within the company, to the distribution center and to third party vendors
  • Negotiate ocean freight, air freight, and trucking rates with vendors
  • Responsible for determining most cost effective method of shipping goods

Documentation:

  • Review and approve vendor import/export documentation. Ensure all documentation is in accordance with payment terms and US Customs rules and regulations
  • Deal with any Customs and Transportation issues that may arise
  • Create & maintain checklists for each individual shipment
  • Code & submit broker invoices for approval; forward to parent company
  • Provide input for production department’s report card to factory
  • Review and evaluate forwarder and broker performance. Negotiate improvement plans as necessary. Process claims with forwarder/shipping lines as necessary.
  • Monitor import quota status as it relates to closures/changes
  • Monitor the import regulations from various countries and relay import benefits/constraints to the Production Team and all other pertinent parties.
  • Develop Invoice Guide to include on factory commercial invoice prior to shipping
  • Ensure valuation and origin determination for all imported goods
  • Interface with affiliates and third-party suppliers to ensure their understanding of U.S. import documentation requirements
  • Monitor and coordinate incoming shipments with the distribution center to ensure timely receiving of incoming product
  • Send arrival notices in a timely manner

Communication and Customs Compliance:

  • Work seasonally with customs broker, Marmot, US Customs and Product Development to ensure the proper H.S. classification of ExOfficio apparel and all import processes are in compliance with U.S. Customs regulations. Distribute findings.
  • Interface with related functional areas such as production and product development on customs matters and ensure that personnel within these areas are trained in import/export compliance
  • Work with Production and Product Development to pre-classify new styles during initial development by offering expertise and exploring resources
  • Offer expertise and assistance to Marmot Mountain to pre-classify their new styles during initial development
  • Create and maintain classification parts database. Provide database to customs broker seasonally
  • Act as liaison between Ex-Officio and outside resources to resolve any questionable classifications
  • Determine manufacturer identification code (MID) and distribute to factories and customs broker
  • Process and monitor Importer Security Filings (ISF)
  • Negotiate service rates with customs broker
  • Familiarize yourself and the company with various alternative payment, shipment and delivery methods relating to incoming shipments. Make appropriate cost saving recommendations.
  • Review shipment files for discrepancies and request post entry as needed
  • Maintain customs import procedure manual
  • Analyze data from the Importer Trade Activity report (ITRAC) and make necessary recommendations
  • Analyze import/export data to identify risks or opportunities for savings. Make recommendations to management as appropriate.
  • Design and implement automation solutions to increase efficiency and improve monitoring of compliance issues
  • Perform eligibility analysis for goods that may benefit from Free Trade Agreement preference
  • Personally educate self on latest Customs and other government agency import regulations

International:

  • Perform all functions related to seasonal buys and tracking for International Distributors
  • Manage communications with overseas factories, distributors, brokers and shippers
  • Coordinate all activities related to International business practices
  • Coordinate with Marmot Hong Kong to optimize international shipments
